Build relations with your Donors - 4fund.com made it easier

Organisers! Did you know that, according to the Privacy Policy of the 4fund.com portal, you can use the e-mail addresses of the people who made a donation to your fundraiser and get in touch with them? Find out where to find the address database, how to download it and in which situations the mailing will not violate the General Data Protection Regulation and our regulations!

How to build relations with donors properly and lawfully?

According to our Privacy Policy chapter III. 3. 3. The Fundraiser Organiser may send an e-mail to the Donor to:

  • say thank you for the donation;
  • inform about other, potentially interesting fundraisers;
  • inform about the progress of the supported fundraiser;
  • provide an accounting of the project.

Mailing should be used to build relationships with Donors. Information about your progress, fundraising events or new auctions on 4fund.com may encourage some of them to get more involved! As in any relationship, you need to respect certain restrictions in mailing to make the situation comfortable for both parties. Before you send your first e-mail, please read the rules to protect our users from unwanted content:

  • The content of your messages must be related to your activity on 4fund.com;
  • If you want to contact Donors regularly, don't send messages too often. Firstly, no one likes it secondly, the recipients' inboxes may automatically mark you as spam and thirdly, if you discourage supporters, your fundraiser loses all chance of success.
  • If a particular Donor has not made any activity with your e-mails for six months, you should consider them no longer interested in your campaign. Therefore, you should stop sending messages.
  • If a Donor asks you to stop sending messages, you must stop doing so immediately.

Where can I find the list of individual Donors?

Go to My fundraisers:

The graphic shows a view of the expanded menu on the right - to expand it, click on your username. "My fundraisers" is the second option from the top.

Select Finance from the drop-down menu under the fundraiser you are interested in:

Here is the list of contributions with all the e-mail addresses provided by the Donors. You can copy their addresses directly or download the whole list in .xls format and use it conveniently in Excel.

On the mailing list, from the left, there is a 'refund' option (tick if you want to return the donation), the date the donation was posted, the donor's details - name and email, whether the donation was linked to a prize purchase and a button to download a confirmation of the donation. At the very top, there is an option to "Export XLS file".

If you don't want to do that yourself, you can utilize our new premium feature! Now, when your fundraiser receives support from a minimum of 50 Donors, you'll see a special banner. With just a few clicks, you can delegate the task of sending thank-you e-mails to your Donors directly through our platform. Simply look out for the designated banner, click on it, and select the option to delegate sending e-mail to us for a nominal fee. It's that easy! We're excited to offer this convenient feature to our dedicated Organisers, streamlining the process of donor appreciation.

How to manage Donor relationships?

Before you start mailing, establish a strategy. Depending on how dynamic your campaign is, you will have the opportunity to create interesting messages at different frequencies. We have prepared two mailing strategy suggestions - use one or devise your own!

Milestones method

Inform your donors about the milestones of your campaign to mobilise them to continue sharing and donating to your fundraiser! Your milestones could be:

  • A contribution from a new Donor - the addition of new people is an indicator of the development of your project. You can e-mail to welcome new people, thank them for their contribution and encourage them to share your fundraiser on social media. In this way, you will reach a wider range of potential Donors.
  • Reaching 50% of your goal - the vision of an approaching goal can motivate your Donors. Remind them of your fundraiser, thank them for their support so far and encourage them to continue to share the fundraiser and donate.
  • Exceeding 90% of your goal -this is your chance to give the community one last boost! Let Donors know you have almost made it and are very close to the goal. Ask for final shares and contributions.
  • Achieving the goal - it is also a credit to the people who got involved in your fundraiser! Inform Donors that you have reached your goal and thank them for their contributions and shares. If you run other fundraisers on 4fund.com, you can let your community know about them.

This is, of course, just a suggestion of milestones. Much depends on the nature of your fundraiser. If your campaign involves larger, multiple purchases, each may be a separate milestone. It is up to you to decide what you consider a milestone worth informing backers about. 

Newsletter method

This strategy will be great for large, dynamic campaigns and recurring fundraisers. Regular contact will make it easier to bond with your supporters and make it memorable. Once in a while - a week, two weeks or a month, depending on how long you plan to raise money - keep supporters up to date with the progress of your campaign, related events and interesting facts. Remember the rules for regular contact, described in the first paragraph.

Running a fundraiser is a great opportunity to build a community based on friendship and mutual support. By e-mail, you can receive many warm words and even make some interesting friends! Personal contact with donors is not only a method to raise more funds for your fundraiser. The exchange of messages among people working towards a single goal has a great added value that may surprise you!
